Data Privacy Notice

This notice applies to data that clients provide to Smart Annotahub for annotation, labeling, review, or related services (“Client Data”). Our website and marketing activities are covered by our Privacy and Cookies Policy.

For Client Data, we act as a data processor. We process it only on our client’s documented instructions and for the purpose of delivering the agreed services.

Every project begins with a non-disclosure agreement. All staff and annotators sign confidentiality agreements and receive data-handling training before accessing any project.

Access to Client Data is restricted to the team assigned to the project, on a need-to-know basis.

Work is carried out in access-controlled environments or directly inside the client’s own platform where requested.

Personal devices, screenshots, and local downloads of Client Data are prohibited unless the client approves otherwise.

Access is logged and reviewed, and revoked as soon as a team member leaves a project.

Where datasets contain personal data such as faces, voices, licence plates, or names, we follow client instructions on anonymisation, blurring, or redaction, and handle such data in line with applicable data protection laws, including GDPR where relevant.

We do not transfer Client Data to third parties without the client’s prior written approval.

At the end of a project, or on request, we return or securely delete Client Data and confirm deletion in writing.

If we become aware of a security incident affecting Client Data, we will notify the affected client without undue delay and cooperate fully to contain and resolve it.
